Privacy Policy

Last updated: 7 September 2026

This Privacy Policy explains how Tourlite Design Limited (“we”, “us”) collects, uses, and protects information within Loadout, our internal production and equipment management system. Loadout is used by our own staff and authorized personnel to manage clients, jobs, equipment, and related business records — it is not a public-facing consumer product.

Information we collect

  • Account information: name, email address, and role for staff and account-manager users who log in to the system.
  • Personnel and crew information: name, email, phone number, address, and — where relevant for travel and production logistics — passport number, passport expiry date, and visa details.
  • Client information: business and contact details, including name, address, and contact person for organizations we work with.
  • Business records: jobs, quotes, invoices, schedules, travel and accommodation bookings, and equipment inventory associated with our work.
  • Files: uploaded attachments and images such as equipment photos, travel/accommodation confirmations, and equipment issue reports.

How we use this information

Information is used solely to operate our production and equipment management business: coordinating jobs and crew, managing client relationships, generating quotes and invoices, tracking equipment, and communicating with clients and personnel about jobs (for example, sending job-related emails).

Third-party services

  • Google Maps is used to look up and display addresses and locations for clients, jobs, and venues.
  • Email delivery is used to send job-related notifications and documents (such as quotes and invoices) on our behalf.

We do not sell personal information, and we do not share it with third parties except as needed to provide the services above or as required by law.

Data retention and security

Data is retained for as long as needed for our business records and legal obligations. Access to the system is restricted to authorized staff via individual login accounts, and passwords are stored using industry-standard hashing.

Your rights

If you are a client, crew member, or personnel record held in this system and would like to access, correct, or request deletion of your information, please contact us using the details below.
